Glossary

Like most software, Samaritan has its own "language." This glossary is here to help you learn our terms, acronyms, functions, and features.

eCoordinator (eC)
A secure, web-based software for managing volunteers, service opportunities, and schedules. This where your volunteer services team will review, process, schedule, track, and report on volunteers.


eRecruiter (eR)
A portal for volunteers (or potential volunteers) to register, browse for opportunities, sign up, report service hours, and more.


Volunteer (Vol)
One of three core profiles. The "Who" or anyone who participates in a service opportunity.


Opportunity (Opp)
One of three core profiles. The "What" or any activity/event that engages volunteers.


Organization (Org)
One of three core profiles. The "Whom" or the program, organization and/or departments that owns or operates the service opportunities. It stores information about a physical location where or for whom volunteers serve. It is the simplest profile in the system. An opportunity must be tied to a sponsoring org.


Profile

Collection of discrete data units set apart for a specific function. There are profiles for vols, opps, and orgs.


Grid
A window into the data that is stored in the system. The are 5 grids in eC: the Vol, Opp, and Org profiles, the Log Book, and the Calendar. 


Saved Grid
A grid that you will reference more than once that can be opened and view from your Saved Grids List dropdown menu.


Filter
A subset of the grid that lets you display data based on certain criteria.


Column Search
Find and filter your data by searching for keywords, date ranges, or dropdown choices in a field.


Column Sort
Display data in your grid based on a sorting columns from A-Z, Z-A, oldest to newest, etc.


Refer
Vols who sign up for an opportunity and are referred are in a "holding bin" while more screening is conducted. You can use also use this status as a wait list for filled opps. ⚠️Vols in this status cannot submit service hours.


Place
Vols who are placed are officially assigned to the opp and can report service hours.


Calendar
Where shifts for opportunities are built and managed. The Calendar has its own grid.


Schedule Shift
A volunteer assignment that has a start and end time. Shifts may be one-time, repeating, or a combination of both.


Log Book
The section of the database where service hours and other surveys are stored. The Log Book has its own grid. 


Log Book Entry
(LBE)
A row in the log book where survey results are stored. Represents a single unit of service, a snapshot created automatically by shift, self-reported by volunteer, entered by Sign in Station, manually entered by a Coordinator by survey or Add Hours feature.


Log Book Start Date
The actual date of service.


Log Book Date Entered
Date record is entered. May or may not be the day of service.


Relative Date Range
Preset groups of time such as, yesterday, today, tomorrow, last year, etc.


Specific Date Range
Allows user to define exact timeframe, such as a fiscal year or a 6 week period.


Details Mode
Shows each individual entry in the log book.


Summary Mode
Condenses data according to profile. When starting from the volunteer tab, the summary mode shows cumulative entries for the volunteer, likewise for the Opp and Org profiles.

Logged Data Field
Unique field create to store data related to the service opportunity.


User Defined Field (UDF)
These are fields that are specific to the account, rather than to a particular profile type. Administrators can create and manage new UDFs.


Survey
The interface by which a participant can offer additional information.

Opportunity Survey
A survey that only placed volunteers in a specific opportunity can access.


Non-opportunity Survey
A survey that can be taken by any volunteer via an email link; Survey that is independent of whether or not a volunteer is placed.


Ordinary Log Book (O) –
Survey contains elements of the Volunteer, Opportunity and Organization (aka Opportunity-based).


Archive Folder
Used for storing data that you no longer want to see on a day-to-day basis without permanently deleting the data.


Volunteer Activity Status
A customizable field that tracks the volunteer's varying stages. Examples include: Applicant, Active, Inactive, LOA.


Email Preferences / Email Type
Allows volunteers to select which type of emails they prefer or to opt out entirely. This feature was designed to address concerns about the CAN-SPAM Act.


Integration
The process by which eCoordinator connects with third-party services such as background checks, e-signatures, and occupational health screenings.


Sign-In Station
A browser-based terminal where volunteers can clock in and out for their shifts and opportunities.


Waiver
An agreement or acknowledgment that is captured on the frontend by the volunteer and stored in eCoordinator.


User Role
Controls the actions a user can perform when logged in to eCoordinator.


User Filter

Controls the data a user can see when logged in to eCoordinator.
