When you modify a profile that triggers an On Save Automation, this indicator will alert you that the automation is now in progress.
You may have noticed the the "Automations in progress..." or the "Sending automated emails..." notifications that have popped up in the upper right corner of your eCoordinator window as you work in the system.
.
These notification will usually appear in a profile tab, after you save your edits. This is because one of the edits you made was a trigger in an automation.
For example, you may have an on save automation configured that emails a volunteer when their Activity Status has changed. If you are editing a volunteer profile and manually update the activity status, when you save your changes the automation will be triggered.
These notifications usually appear in the top right corner of the profile tab you are currently working on and updating. However, if you close the profile tab before the notifications appear, or if you are not working in a profile tab, they may instead appear in the upper right corner of your main profile grid window. Regardless of where they show up, these notifications work in the same way.
On Demand Automations may also trigger other On Save Automations, and you may see these notifications after running them. For more information about On Demand Automations, click HERE.
Automations in Progress
The Automations in progress notification is important for two reasons:
- A user may want to know that their edits have caused additional changes in the system.
- If the automation is updating fields, the updates may not occur immediately. It may take a few minutes for these fields to update and save in the background while you continue working. Once the automation successfully updates a field, the tab containing that field will automatically refresh. This ensures that you always have the most up-to-date information. However, if the tab refreshes and you haven't saved your changes, there is a risk of losing them.
If you click on the "?" help indicator in the notification, a window will appear with a brief description of the notification's purpose.
Sending Automated Emails
- If an automation is triggered and includes an email action, the Sending automated emails notification not only informs the user that emails have been queued for sending, but also provides the option for the user to delete any emails in the queue that have not yet been sent.
- The Sending automated emails notification may last for up to 5 minutes.
- Clicking Don't Send will immediately remove any emails from the queue.
- By clicking on the See Details link, you can open the edit window. From there, you have the choice to either not send any emails or select which emails you would like to send.
